How do I start the rental process?

There are a few ways to begin the process of receiving a quote. You can create and submit a wish list here on our website, click here to send an email with the items you are interested in or call our office for a consultation. We offer free site visits and estimates for tent rental events only.

Can I change my order?

Certainly! Your quote is a working document and we can adjust to it to meet your needs and approval up to 7 days prior to the event. This is subject to availability. Please note that tent rental reservations are difficult to change particularly during peak rental season.

When does your team deliver and setup? When do they return for pick up and take down?

Typically, deliveries and tent installations are completed 1-2 days prior to your event date. We will pick up and take down 1-2 days after your event. This is subject to change during peak season and weather- related issues. We will send you an email approximately one week prior to your event and will give you a day and approximate time of the delivery.

When I get my quote, are the items reserved for me?

Not yet! The items are not reserved for you until the contract is signed and the deposit is paid. Deposits are applied to the final invoice which is due day of delivery.

Can I cancel my order?

Deposits are non-refundable. We will allow deposits to be transferred to another event date for Covid-19 related issues only - no other reason. There are no refunds once the event is loaded for delivery.

Are there delivery, installation, pick-up or take-down fees?

Yes, these charges are based on location.  The further away the event, the higher the delivery cost. Please keep in mind we use trucks which take longer and are not allowed on certain highways. We also need to go back and forth from the location twice. Delivery fees are adjusted for time and labor spent during travel.

What if I lose or damage an item?

Customers are 100% responsible for lost or damaged items regardless of cause or fault. Please turn off your sprinklers! This liability ends when all merchandise is returned to RPR. The replacement prices or costs for damaged products will be determined by RPR, without exception.

What are your payment terms?

50% deposits are due at the signing of the contract. All deposits are non-refundable. All invoices will be paid to RPR in full on delivery. Late payments are subject to penalties determined by RPR.

Can we have a rain date? How do I plan for unpredictable weather?

You can certainly have a rain date, but you will have to pay a deposit for both events. We suggest having your rain date a day or two after your original planned day. We are usually able to leave the equipment there for an extra day or two in order to accommodate these changes. Some of the best events are in the rain if planned well.  We can help you with a rain plan or tent solutions if the weather is questionable.

Terms of Use of Rental

Customer agrees that they are satisfied with the instruction given by RPR in the proper and safe manner of using the items or that you are so familiar and told RPR you were. You will further agree that the items rented will be used only for the purpose for which the item was manufactured and intended. All products are delivered in first class condition. If any items are returned damaged, due to rain, water, spillage, mischief or misuse the customer will be required to pay the replacement cost of the item.

Use of Tents

RPR is not responsible for any and all underground utilities when installing tents.

Customers are responsible for obtaining, if applicable, any permits required under local ordinance for location of event.

There shall be no cooking under tents.

Do not use tape, any adhesive material, tacks, or staples on any tent material.  String and zip ties must be used to hang anything. Cleaning fees will be charged at the discretion of RPR.

RPR is not liable for injuries or damage to persons or property caused by fire, lightening, windstorm, rain, tornado, hail, explosions, riot, vandalism, sabotage, aircraft or objects falling there from, vehicles running on land or tracks, smoke, earthquake, flood, terrorism, or radioactive contamination.

Use of Tables & Chairs

All tables must be covered with linens or plastic table covers.

No staples or tacks may be used to fasten table covers.

All tables and chairs must be wiped clean prior to pick up.

Use of equipment on hardwood or tile floors is at the customer’s risk. We assume no responsibility for damaged floors.

All tables and chairs will be stored under the tented area or under other cover after the event and prior to pick up. Cleaning fees will be charged when applicable.
